Refund and cancellation policy

Eligibility

Refunds apply to confirmed training fees paid to Filecovebase for open cohort seats or private team cohorts. This site does not sell physical products or software licenses; those categories are outside this policy.

Timeframe for full refunds

Open cohort seats cancelled in writing at least 14 days before the first training day receive a full refund of fees paid. Cancellations received 7–13 days before the start date receive a 50% refund. Cancellations within 6 days of the start date are not refundable except where Filecovebase cancels the cohort.

Partial refunds

If a multi-day cohort is shortened by Filecovebase after it begins, we refund a proportional share of unused days, or offer a seat in a later cohort of equal value at your choice.

Non-refundable items

• Administrative booking fees stated as non-refundable on your confirmation
• Third-party venue costs already incurred for a private cohort when cancellation is at the client’s request within 10 days of the start date
• Custom materials already printed or licensed specifically for your private cohort after you approved the design

Deposits

Private cohorts may require a deposit to hold dates. Deposits are credited toward the final fee. Deposits become non-refundable if the client cancels within 14 days of the first scheduled day, unless Filecovebase fails to deliver the agreed facilitators.

Rescheduling

You may reschedule an open seat once to another published cohort within six months at no fee if notice arrives at least 10 days before the original start. Later reschedules may incur a 10% administrative fee. Private cohort reschedules require mutual agreement and may adjust venue costs.

No-shows and late arrivals

Failure to attend without prior written cancellation is treated as a no-show and is not refundable. Arriving after the first half-day does not extend the program or create a partial refund right.

Work already started

Once a private cohort’s discovery call and curriculum adaptation have begun, discovery hours already delivered are deductible from any approved refund at the rate stated in your agreement.

Purchased materials

Printed workbooks or licensed datasets procured for a private cohort after client approval are non-refundable once ordered. Digital templates included in standard open cohorts remain available to enrolled participants and are not separately refunded.

When Filecovebase cancels

If we cancel a cohort for facilitator illness, venue failure, or under-enrollment, you may choose a full refund or transfer to a future date at no additional charge.

Refund process and timing

Email hello@filecovebase.click with your booking reference, participant name, and reason. Approved refunds are processed within 14 business days to the original payment method when possible, or by bank transfer to an account you designate in Vietnam.
